How to Integrate Instahyre with Greenhouse and Export Candidates

Instahyre’s Greenhouse integration lets you easily export candidates from Instahyre directly to your Greenhouse ATS.

Once the integration is set up, you can link your Instahyre jobs to the corresponding Greenhouse jobs and export candidates with just a few clicks. You can export candidates individually from Search or move multiple candidates at once using bulk export.

This guide explains how to set up the integration, link jobs, and export candidates from Instahyre to Greenhouse.

Step 1: Connect Instahyre to Greenhouse

1. Go to Integrations from the dropdown menu.

2. Open Applicant Tracking Systems.
3. Click Integrate Now.

4. Enter your:
5. • Greenhouse Harvest v3 Client ID
   • Greenhouse Harvest v3 Client Secret

Step 2: Link Your Instahyre Job to a Greenhouse Job

To export candidates to Greenhouse, your Instahyre job needs to be linked to the corresponding Greenhouse job.

When creating a new job

While creating an Instahyre job:

1. Select Greenhouse job to link.

2. Choose the corresponding Greenhouse job.
3. Complete the remaining job details and publish the job.

For an existing job

If the Instahyre job is already live:

1. Go to the Jobs dashboard.
2. Select Link to Greenhouse.

3. Choose the corresponding Greenhouse job.
4. Save the changes.

Once the jobs are linked, you can start exporting candidates from Instahyre to the linked Greenhouse job.

Step 3: Export Candidates from Instahyre

Once your job is linked, you can export candidates from Instahyre to Greenhouse.

Export a candidate from Candidates or Search results page

You can export individual candidates directly from your candidates or search results page.

1. Select the Instahyre job you are hiring for.

2. Find the candidate you want to export.
3. Open the candidate’s card.
4. Click Export to Greenhouse.

The candidate will be added to the corresponding Greenhouse job.
Note: The Instahyre job must be linked to a Greenhouse job before you can export candidates from Search.

Bulk export candidates

If you want to export multiple candidates at once:

1. Go to the Candidates page.
2. Select the candidates you want to export.

3. Click Export to Greenhouse.

This lets you move multiple candidates to Greenhouse without exporting them individually.

Step 4: Access Instahyre Candidates in Greenhouse

Once a candidate is exported, they will be added to the corresponding job in Greenhouse. You can then continue managing the candidate through your usual Greenhouse hiring workflow.
If you are setting up the integration for the first time, you’ll need to create Greenhouse credentials and give them the required permissions before connecting Greenhouse to Instahyre.

Create Greenhouse API credentials

1. Log in to Greenhouse Recruiting as a Site Admin.
2. Go to Configure → Dev Center → API Credential Management.

3. Under Harvest v3 (OAuth), click Create New Credential and select Harvest v3 (OAuth).

4. Enter a description, such as Instahyre Greenhouse Integration, and click View and store credentials.

5. Copy the Client ID and Client Secret. You’ll need these when connecting Greenhouse to Instahyre.

6. Add the required permissions

Go to Configure → Dev Center → Permissions and make sure the credential has the following permissions:

• harvest:candidates:create
• harvest:applications:create
• harvest:applications:update
• harvest:attachments:create
• harvest:notes:create
• harvest:jobs:list
• harvest:users:list
• harvest:sources:list
• harvest:offices:list
• Harvest:departments:list

7. Add Instahyre as a candidate source

Make sure Instahyre is available as a custom source in Greenhouse.
Go to Configure → Custom Options → Sources and add Instahyre if it does not already exist.
Once this is done, you can use the Client ID and Client Secret from Greenhouse to complete the integration in Instahyre as described in Step 1.

And you’re all set! Your Instahyre and Greenhouse accounts are now connected. You can link your Instahyre jobs to Greenhouse and start exporting candidates directly from Instahyre to the relevant Greenhouse job.
