Learn about how to review candidates, move them to various stages of your interview process, adding notes, and more

When a job has been added and activated by our moderation team, the InstaMatch algorithm finds the most suitable candidates for the job using various criteria such as the job’s requirements and the hiring company’s preferences and then shows you a curated list of candidates.

Q. How to view candidates for a job post?


You can access the candidate profiles for a particular job in two ways:

Go to the "Jobs" tab and on the right-hand side of the job post select "View candidates".

Or you can go to the "Candidates" section and on the left-hand select the job for which you want to see the candidates.



Active candidates - This section shows all the candidates who are relevant for the role and have been actively looking for jobs.

Passive candidates - Passive candidates are the candidates relevant for the job but are not actively searching for jobs. They can significantly increase the candidate pool for a job. You will be able to view passive candidates only if you are on the Database Subscription plan.

Low-matching applications - This section shows the candidates who have applied for the job but are not a high match to the job post based on the InstaMatch score.

Q. How can I view candidate details?


On the "Candidates" page, you will be shown certain details upfront about each candidate for each job.

The skills shown in green boxes are the ones that match with the job you have posted and the ones in grey boxes are the additional skills that the candidate has but are not mandatory as per your job post.



To view the candidate's complete information, you will have to view the resume which will deduct one credit from your current plan.

Q. What are the various actions I can perform on a candidate's profile?


In the candidate section, you can perform various actions to help you track and manage the candidates, and thus decrease your time to respond to new candidates. We strongly recommend that you use these actions to keep your pipeline organized. Taking actions on candidates' profiles also helps our algorithm, InstaMatch, to understand your preferences for the job post and show more similar candidates.

View resume - Instahyre displays basic details about a candidate in the list, in case you want to know more details about a candidate you can click on "View resume". In case you see a grey tick next to the "View resume" it means someone else from your team has already viewed the resume and if the tick is green it means you have already viewed the profile.



Share resume - You can share the resume of a candidate with your teammates or with your clients. All you have to do is add their email ID and if you wish you can add a note too. Once, you are done just click "send".



Shortlist - If you like a profile and want to shortlist the candidate you can click on "Shortlist" and the candidate will be moved to the shortlist bucket. Note: if there is a grey tick next to the "Shortlist" that means the candidate has been shortlisted by your fellow or by you for a different job and a green tick means you have already shortlisted the candidate.



Reject - In case a profile doesn’t match the job’s requirements, you can click on "Reject", and the profile will be removed from the list. This also helps InstaMatch to better understand what candidates are not a strong fit for the role.



Send email - To send an email click on "View the resume", and you will see a pop-up for email.



Note: If there is a grey tick next to the "Send email" that means the candidate has been contacted by your fellow and a green tick means you have reached out to the candidate yourself.

Q. I viewed a candidate's profile but forgot to take any action on it. How can I review it without losing credits?


If you have already viewed a candidate profile or have taken any action on a particular profile and want to open that particular candidate, you can use the "Search pipeline" to find the profile using the name, email address, or phone number of the candidate. You can view their profile as many times as you want without losing credits.



Q. I want to report a candidate profile, How can I do that?


If you wish to report a certain candidate profile due to some reasons such as false information, incorrect name, fake profile etc. You can do that by following these steps.

Click on "view resume"

Then click on "Report this profile"



Select the reason for reporting the candidate and click on "Confirm".
