Understanding Candidate Profiles
Our Candidate Profile feature provides a comprehensive, 360° view of every candidate, enabling you to make faster, smarter hiring decisions with less back-and-forth.
Here’s everything you need to know about what’s inside a candidate profile and how to make the most of it.
After you have successfully posted a job, Instahyre gives a curated list of candidates matching the job requirements on the candidates page. This is where you view all candidates, including those uploaded from external sources or sourced from your ATS.
Here you will get a snapshot view of the candidate profile with necessary information like Name, current designation, company, location, work experience, notice period, salary, and skills. You can take important actions like sending an email, viewing the profile, saving it for review, or rejecting it.
To get a complete view of the profile, click on View profile.
The candidate profile gives you a comprehensive view of the candidate information. There are six tabs in the candidate profile - Resume, Stages, Emails, Evaluations, Notes and Activity.
You can download the resume here or see detailed contact information of the candidate.
Resume Tab
The Resume tab gives you quick access to the candidate’s most recent resume, right within their profile—no downloads required.
Here’s what you can do:
- Preview resume instantly: View the candidate’s resume in a scrollable, readable format without leaving the platform.
- Download if needed: Want to save it for offline review or attach it to an internal thread? Just click Download.
- Share with your team: Instantly share the resume with hiring managers or teammates for feedback or decision-making.
- Upload a new version: If you’ve received an updated resume via email or the candidate has shared a newer version, you can upload it directly here to keep the profile current.
Keeping resumes centralized and up-to-date ensures everyone on your team is evaluating candidates based on the most relevant and accurate information.
Stages Tab
The Stages tab shows where a candidate currently stands in your hiring pipeline and lets you manage their progress with ease.
Here’s what you can do from this tab:
- View current stage: Instantly see if the candidate is in Screening, Interview, Offer, or any custom stage your team has set up.
- Move candidates: Drag and drop or manually update the candidate’s stage based on interview feedback or next steps.
- Send emails or schedule actions: Trigger stage-specific communication like interview invites, rejection emails, or reminders, right from within the tab.
- Collaborate with your team: Everyone on the hiring team can view stage history and comments, ensuring a consistent and informed evaluation process.
- Track progress at a glance: The tab gives you a quick snapshot of how far each candidate has moved and what actions are pending.
By keeping everything transparent and actionable, the Stages tab ensures a smooth and well-coordinated hiring workflow for your team
Emails Tab
The Emails tab allows you to manage and preview all candidate communication in one place - so you never miss a follow-up or lose context.
Here’s what you can do:
- Preview sent emails: See the full content of every message sent to a candidate, including automated and manual messages.
- Track status: It shows whether your email was delivered, opened, or replied to, so you can prioritize follow-ups accordingly.
- Reply directly: You can continue the conversation right from the Emails tab, without switching tools.
- View timelines: See the full interaction history with a candidate in one scroll, including messages sent via Instabot, email, and in-platform chat.
This feature ensures seamless communication, especially when multiple team members are collaborating on the same role.
Evaluations Tab
The Evaluations tab helps your team stay aligned by tracking all candidate feedback in one place, whether pending or completed.
Here’s what you’ll find:
- View submitted evaluations: See detailed feedback provided by hiring managers, interviewers, or other team members.
- Track pending evaluations: Know which team members still need to submit their feedback, so you can follow up and keep the process moving.
- Collaborate seamlessly: All evaluations are visible to your team, ensuring everyone has full context before making the next hiring decision.
- Maintain a feedback trail: Every evaluation is timestamped and logged, useful for performance analysis or audit purposes.
This tab ensures structured, timely feedback and avoids decision delays caused by scattered inputs or miscommunication.
Notes Tab
The Notes tab is your team’s shared notepad for each candidate - perfect for keeping track of internal feedback, reminders, or next steps.
Here’s how you can use it:
- Add private or shared notes: Jot down key observations from interviews, resume highlights, or follow-up reminders.
- Collaborate with your team: Everyone involved in the hiring process can view and add notes, ensuring aligned decision-making.
- Keep a running record: All notes are timestamped and stored chronologically, creating a clear history of the candidate’s journey.
The Notes tab keeps your hiring process organized, transparent, and efficient - no more digging through email threads.
Activity Tab
The Activity tab gives you a complete audit trail of everything that’s happened on the candidate’s profile—so you’re always in the loop.
Here’s what you can track:
- Hiring actions: See when the candidate was shortlisted, moved to a new stage, or marked as rejected.
- Communication logs: View timestamps for emails sent, replies received, and messages exchanged.
- Team activity: Know who viewed the profile, added notes, submitted evaluations, or updated stages.
- Status updates: Track changes like updated resumes, new contact details, or profile edits.
Whether you’re picking up where a teammate left off or reviewing progress before a hiring sync, the Activity tab ensures full visibility and zero guesswork.
Job Selector
The Job Selector on the left panel shows you how many jobs a candidate is currently associated with in your account.
Here’s what it helps you do:
- View job associations at a glance: Instantly see which open roles the candidate is being considered for.
- Switch between job contexts: If the candidate is relevant to multiple roles, you can toggle between jobs to view their profile, stage, and communication specific to each position.
- Maintain platform-wide consistency: This job association is visible across the candidate’s profile, ensuring all team members stay on the same page, regardless of the job they're hiring for.
This feature is especially useful when you're hiring for similar roles across departments or locations and want to avoid duplicate evaluations or outreach.
Pending Tasks & Upcoming Events
Just below the Job Selector, you’ll see a list of any pending tasks or upcoming events associated with the candidate’s profile.
This section helps you stay on top of what’s next:
- Pending evaluations: See if any team members still need to submit interview feedback.
- Scheduled interviews: Quickly view upcoming interview slots, panel details, and status.
- Other to-dos: Track reminders like follow-up emails, internal reviews, or profile actions you've assigned to yourself or your team.
This area keeps your hiring workflow organized and ensures nothing slips through the cracks, especially useful when juggling multiple roles or candidates at once.
