Understanding Inactivity Profiles on Instahyre


To keep your hiring process efficient and prevent candidate drop-offs, Instahyre automatically marks certain profiles as inactive if there has been no recent activity. This helps recruiters maintain a streamlined pipeline, reduce delays, and avoid missing out on potential candidates.


Why Does Inactivity Matter?



When a candidate becomes inactive, it often signals that they may be stuck in the pipeline or require follow-up. Instahyre automatically flags these profiles so you can:

  • Re-engage candidates who may have been overlooked.
  • Keep your hiring process on track by following up promptly.
  • Prioritize candidates based on recent activity and demonstrated interest.


How Inactivity Alerts Work


When a candidate is marked as inactive, an inactivity icon appears on their profile or pipeline card. At the same time, relevant team members receive an email alert. This icon acts as a signal that the candidate may be stuck in the pipeline and likely needs your attention or follow-up.




When Is a Candidate Marked as Inactive?



The rules for marking a profile as inactive vary based on the stage the candidate is in. The table below summarizes the inactivity criteria, who sees the inactivity icon, and who gets notified.

Custom Stage, where inactivity alert is enabled

No future event scheduled AND no activity in the last **N days (custom limit for that stage)Activity includes:**Same as above

Both Job Coordinator and Stage owner, if they're different. (And only JC if SO is not subscribed to the job)


Tracking Inactive Candidates on Your Dashboard


In addition to receiving email alerts, Job Coordinators and Stage Owners can also monitor inactive candidates directly from their Home dashboard. For every job and stage you own, you'll see a clear summary showing the number of inactive candidates and the stage they are stuck in — helping you stay on top of your pipeline and take timely action.

When you see an inactive profile:

  • Consider reaching out to the candidate to re-engage.
  • Check if the inactivity is due to internal delay and take action.

  • Review the stage and see if an update is required.
